Reception-calendar Manager For Two Sophisticated, Small Law Firms (New Canaan, Ct)

We are seeking an A+ Reception-Calendar Manager with the organizational talent to help us expand the entrepreneurial business of our law firms, The Maddox Law Firm and The Connecticut Auto Accident Law Group. These firms focus independently on criminal defense and serious personal injury but operate under the same ownership. The person we hire will bring a high level of energy, enthusiasm, and can-do attitude to work every day.


The Manager of our Firms’ Reception and Calendars will build relationships with our former, current, and potential new clients by phone and in person, when they visit our office. This position also supports our legal teams by calling clients to provide case updates, scheduling and keeping track of appointments and events and obtaining important documents.

Reporting Relationship

The Receptionist works under the supervision of at least one Legal Assistant and a Practice Manager.


Client/Visitor Focused Tasks

  1. Create a positive, impactful, professional first impression on behalf of the firm by phone, in person and by email.
  2. Answer Incoming Calls.
    • Direct incoming calls as appropriate.
    • Provide information to incoming callers as appropriate.
  3. Interact with the courts and administrative agencies regarding hearings, motions and other appearances.

Administrative Tasks

  1. Schedule client and third-party calls and meetings.
  2. Maintain attorneys’ calendars and the Firm Master Calendar, ensuring calendars are accurate, organized and synchronized.
  3. Retrieve answering service messages and emails and ensure that they receive a prompt reply. Return calls if needed.
  4. Ensure that messages are added to the client database.
  5. Receive mail, deliveries, and packages.
  6. Direct all mail and deliveries to the proper person.
  7. Stamp the date received on all incoming mail and dispose of junk mail.
  8. File documents in appropriate client files & sub-files.
  9. Organize documents in both paper and electronic files and maintain them per procedures.
  10. Perform other general office duties as requested.
  11. Make copies/ scan documents.
  12. Prepare and send legal correspondence as directed by attorneys.
  13. Take notes during new client intake meetings.
  14. Set up new client files.
  15. Assist with documenting policies and procedures for your areas of responsibility.

Education & Experience

The Receptionist should have a high school diploma.

The Receptionist should have some prior office experience, and experience with business phone systems and office computer systems and software.
